1. Scope

This Privacy Policy explains what information we collect when you use the Service — including when you purchase an access pass — how we use and share it, and your choices. By using the Service you agree to this Policy and our Terms of Service.

2. Information we collect

Information you provide

  • Account information: your email address and a password (stored only as a secure hash — we never store your plain-text password).
  • Purchase information: when you buy an access pass, our payment processor Stripe collects your name, email address, billing address, and payment card or other payment-method details directly. See Section 4.
  • Study content you submit: questions and messages you send to the AI study coach, and any feedback you provide.

Information generated by your use

  • Progress and usage data: your quiz results, answered questions, saved progress, study activity, and preferences.
  • AI interaction data: your chat inputs and the responses returned, and short “study context” notes used to personalize the coach.
  • Access and order records: which access pass you hold, its expiration date, a Stripe payment/customer identifier used to reconcile your purchase with your account, and the date and time you accepted these terms at checkout.

Information collected automatically

  • Technical data: IP address, browser/device type, and general log data.
  • Cookies / local storage: used for authentication (keeping you logged in), saving preferences and progress, and basic functionality. We do not use advertising or third-party analytics cookies.

Do Not Track / Global Privacy Control:we do not track users across third-party websites over time and do not serve targeted advertising. Because there is no settled industry standard, the Service does not currently respond to browser “Do Not Track” or Global Privacy Control signals — but regardless of any signal, we do not track you across other sites and we do not sell or share your personal information.

3. How we use your information

We use information to: (a) provide and operate the Service and your account; (b) grant, extend, and verify access-pass status; (c) save and sync your study progress; (d) power and personalize the AI study coach; (e) communicate with you about your account, purchases, security, and service changes; (f) maintain security, prevent abuse (including refund/access abuse), and enforce our Terms; (g) improve the Service; and (h) comply with legal and tax obligations. We do not sell or share your personal information.

4. Payment processing via Stripe

Access passes are sold by us. Card payments are processed on our behalf by Stripe, Inc.(“Stripe”), our payment processor.

  • What Stripe collects directly from you:your name, email address, billing address, and payment details (e.g., card number) when you check out. Checkout takes place on Stripe’s own hosted page, so this information is submitted directly to Stripe — we do not receive, transmit, or store your full payment card number.
  • What we receive from Stripe: to grant you access, Stripe sends us, via a secure server-to-server notification, limited transaction information: a payment/customer ID, which pass was purchased, the purchase date, and whether the payment succeeded, was refunded, or was disputed. We do not receive your full card number or other sensitive payment credentials.
  • Fraud prevention. Stripe analyses payment and device information to detect and prevent fraudulent transactions, and provides us with the result of that analysis. This processing is carried out by Stripe under its own privacy policy.
  • Stripe’s own policies apply.Stripe processes payment data under its own privacy policy and terms, which govern how it collects, uses, and protects your payment information: see Stripe’s Privacy Policy (stripe.com/privacy). We encourage you to review it.
  • Record of your acceptance. When you check out, we record the date and time you confirmed that you had read and agreed to these terms, including the refund policy. We keep that record with your transaction so that both of us have evidence of what was agreed, and we may rely on it if a payment is later disputed.
  • Refunds. If we issue a refund, it is returned to your original payment method through Stripe.

5. AI features and third-party AI processing

To generate study-coach responses, your questions and relevant retrieved study text are sent to third-party AI providers for processing:

  • OpenAI— generates the text embeddings used to search our study materials and the AI study coach’s chat responses (processed in the United States).

We do not control these providers’ retention or model-training practices; review their policies. Do not submit confidential, patient-identifying, or personal health information to the AI coach.

6. Service providers and subprocessors

We share personal information with trusted third-party vendors (“subprocessors”) who process it on our behalf under agreements requiring appropriate confidentiality and security. We do not sell your personal information. Our current subprocessors are:

As the Service evolves we may add, remove, or replace subprocessors. For a material change we will update this Policy, revise the effective date, and where appropriate notify you. We may also disclose information if required by law or valid legal process, to protect our rights or users’ safety, or in connection with a business transfer.

7. Data retention

We keep your account, study, and purchase/order data while your account is active and as needed to provide the Service, and we retain certain records (including purchase records) where required for legal, tax, accounting, or dispute-resolution purposes — typically for the period required by applicable tax law even after account deletion. You may request deletion of other data as described below.

8. Data security

We use reasonable technical and organizational measures to protect your information (e.g., encrypted connections, hashed passwords, access controls). Payment card data is handled solely by Stripe under its own PCI-compliant systems and never touches our servers. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or export your personal information, and to opt out of certain processing. To exercise these, contact support@eccvtsprep.com. You will not be discriminated against for exercising your rights. Note that requests to delete purchase/order records may be limited by our tax and accounting record-keeping obligations, and that payment data held by Stripe is subject to Stripe’s own policies and retention practices.

California residents (CCPA/CPRA): you have the right to know what personal information we collect and how we use it, to request access to or deletion of your information, to correct inaccurate information, and to opt out of the sale or sharing of personal information. We do not sell or share your personal information. To exercise any of these rights, contact us at the email above.

10. Children's privacy

The Service is intended for veterinary professionals and is not directed to anyone under 18. Accounts and purchases require individuals 18 or older (see Terms of Service, Section 4), and we do not knowingly collect personal information from minors. If you believe a minor has provided us information, contact support@eccvtsprep.com and we will delete it.

11. International users and data transfers

The Service is operated from the United States, and information — including the AI processing described in Section 5 and payment processing described in Section 4 — may be processed in the United States and other countries where our providers operate, which may have different data-protection laws than your own. All of the providers listed in Section 3 — including our payment processor, Stripe, Inc. — are based in the United States. By using the Service you understand your information may be transferred to and processed in the United States.

12. Changes to this Policy

We may update this Policy from time to time. For material changes we will provide notice (e.g., by email or in-app) and update the effective date above. Continued use after changes take effect constitutes acceptance.
